New fields, templates and more flexible documents

A big update across events, finance documents and contacts: on-site contact and project planner, separate times per day, function-sheet templates, a global payment term, insert positions anywhere, tighter person-↔-company links, and many refinements.

This update brings a whole range of improvements for planning events, working with finance documents and maintaining contacts – plus many refinements and fixes.

New

  • On-site contact & project planner: Events now have two new fields – an on-site contact (from your contacts) for the person in charge on the event day, and a project planner, i.e. the team member who runs the event internally. Both can be selected when creating and editing an event.
  • Multi-day events with times per day: You can now enter separate start and end times for each day of a multi-day event. The event's overall period is derived from them automatically.
  • Room per programme item: In the schedule, each programme item can now be assigned a room or location directly. The assigned room also appears on the function sheet.
  • Notes on the function sheet: An event's notes are now carried over to the function sheet automatically.
  • Function-sheet templates: A function sheet's display settings can be saved as a template and reused for new function sheets – no need to configure everything again each time.
  • Global default payment term: A default payment term can now be set centrally in the settings. New invoices pick it up automatically as their due date – previously this was only possible via invoice templates.
  • Tags on documents: An event's tags – for example for project or billing numbers – can be inserted into document templates via the {event_tags} placeholder and thus appear on invoices and other documents.
  • Insert positions & sections anywhere: In quotes and invoices, a plus symbol between two rows or sections lets you insert a new position or section right there – instead of appending every new position at the bottom and dragging it up.
  • Link people ↔ companies: In the contacts area, relationships between people and companies can now be edited right on the contact: assign people to a company, set a person's company, define role and primary relationship – visible in both directions.
  • Reminder before an option deadline lapses: An internal reminder now alerts the team in good time before a quote's option deadline expires (lead time configurable per workspace). The reminder goes to the owner, the assigned project planner and the responsible clerk.
  • Service period with time of day: The service period on finance documents can now include a time and is derived precisely from the event when a document is created – with the time instead of 00:00, when the event has one.
  • Copy with a new date: When copying an event you can now pick a new date directly. Time and duration are preserved, including for multi-day events.
  • Booking page: optional location suggestions: Each location can now be set to appear (or not) as a suggestion on the public booking page – handy for keeping private addresses out of public suggestions.
  • Feedback on reported issues: Anyone who reports a problem via the feedback tool is now notified by email as soon as it is being worked on or resolved.
  • Finer price entry: Prices for products and positions can again be entered with up to four decimal places.

Fixed

  • Creating or opening a contact showed "Something went wrong" and the detail page wouldn't open – even though the contact was saved. The contact page loads reliably again.
  • A role with edit but not view permission could lock a whole area (empty dashboard, missing navigation). "View" now acts as the overarching switch: whoever can edit an area can also see it.
  • Completed and archived events stayed visible in the calendar and overview. They now reliably move to the archive view.
  • Adding items falsely showed "insufficient stock" for products with unlimited stock. Unlimited products no longer trigger a stock warning.
  • New inquiries via a booking page sometimes sent the owner two notification emails. Now only one goes to the owner per inquiry; additionally configured recipients are still notified.
  • The "Create function sheet" button at the top of an event now actually creates a function sheet and opens it for editing, instead of only producing a PDF.
  • When a delivery note, quote or invoice is created from a template, the components of a bundle now appear in full – previously they were missing and adding them manually caused duplicates.
  • Changing the quantity of a position on a delivery note is now applied reliably, instead of reappearing as an "unbooked position".
  • Quotes and invoices now show the responsible person, their contact details and the event location correctly; the location is no longer printed twice when no address is set.
  • Product search when building a quote now finds items by partial words and by display name, not only by whole words.
  • When migrating from the old system: imported quotes and invoices now carry full quantities (per person and per hour), service period, clerk and validity; products show their display name and description; missing quote positions as well as the linked schedule and layout are filled in. Repeated imports no longer create duplicate finance documents.
