- Rules by amount or discount, for inquiries by room, booking page or tag. Under Settings → Approvals you decide, as the owner, when a step needs an approval. For quotes and invoices: always, from a net amount or from a discount. For accepting an inquiry: always, for specific rooms, for specific booking pages or for customers with a tag. If several rules of the same kind match, one is enough.
- Who may approve is up to your roles. Roles have a new management right, Grant and reject approvals. The owner may always approve, and anyone with that right needs no approval for their own quotes, invoices and inquiries. As long as you have not created any roles, every member may approve — and then the rules apply to no one.
- The step is blocked, not the document. Without a valid approval a quote cannot be sent, marked as sent or marked as accepted from the draft; an invoice cannot be issued or sent; an inquiry cannot be accepted. The document stays a draft, the inquiry stays open. An approval never triggers anything by itself: once it is granted, you perform the step as usual.
- Bell and push, rejections need a reason. Whoever may approve gets a notification in the bell and a push (no email) and decides in the new Approvals list under “To decide”: approve or reject — a rejection requires a reason. Your own request is always decided by a second person.
- Expires when the content changes. An approval covers the content as it was when it was requested. If a document's items, prices, quantities, discounts, tax, totals, recipient or validity date change — or an inquiry's date, time, rooms or guest count — the approval expires. You are notified and request a new one.
- A quote tied to an inquiry. If a quote belongs to an inquiry that must be approved first under a rule, the quote cannot be sent until the inquiry is approved.
- Automatic paths stay free. Bookings with automatic acceptance after payment, quotes sent automatically by a booking page and automatically created invoices (for example for tickets) need no approval. You can still send a downloaded PDF outside the system, and the customer can still accept quotes that already sit with them.
- In the Scale plan. Approval workflows come with the Scale plan (Enterprise included). If your plan drops below that, the rules stay saved but are paused; every step is free again right away.
