Dunning: payment reminder, first reminder and final reminder

You can now chase overdue invoices in three stages, each with its own PDF, fee and payment deadline — one by one or for selected invoices with a single click.

New

  • New “Payment reminders” overview. Under Finance documents you now find every overdue invoice in five tabs: Reminder due, Reminders sent, Exhausted, Blocked and Backlog. For each invoice you see the open amount, the next stage, the fee and the total claim. Dunning is active in every workspace on the Core plan and above — there is nothing to switch on.
  • Three stages you set up yourself. Payment reminder, First reminder and Final reminder — under Settings → Documents → Payment reminders & dunning you decide for each stage whether it is active, after how many days it is due, which fee applies and how long the new payment deadline runs.
  • Its own PDF and email for every reminder. The text comes from your email templates, the PDF is attached. With Preview & send you see exactly what your customer gets beforehand and can adjust amounts and text.
  • Send with a click — one by one or in bulk. Select up to 50 invoices and send them together. If a customer has no email address on file or has unsubscribed from invoice emails, the reminder is available as a PDF download — you deliver it another way and mark it as delivered.
  • Fee, default interest and €40 flat fee. If you like, Univents calculates default interest from the first reminder and, for business customers, the late-payment flat fee. You can change every amount before sending. The payment link pays the invoice amount; fees, interest and flat fee are transferred by your customer in addition.
  • Backlog is never chased by itself. Invoices that were already due before dunning started sit separately in the Backlog tab. You release them for reminders one by one or in bulk, mark them as paid, or remove them from reminders. When you mark them as paid, your customer gets no email by default and the invoice does not go to your accounting software.
  • Reminder block per invoice. If an instalment plan is running or you are sorting something out by phone, block the invoice — with an optional reason.
  • Automatic payment reminder — switch it on. Under Settings → Documents → Payment reminders & dunning you can switch on Send payment reminders automatically. It is off by default and has to be activated once. Reminders of stages 2 and 3 always go out on your click only.
  • Reminders on the invoice and on the dashboard. On the invoice, the Payment reminders card shows what was sent and when. The dashboard points out invoices that are due for a reminder.
  • The AI assistant helps. It reads the overview, adjusts settings and creates drafts. Sending and releasing only happen after your confirmation.
  • What changes: The “Send reminders” setting on the invoice and the internal follow-up task are gone. To follow up internally, use the overview or an automation with the trigger “Invoice overdue”.
