Calendar: Year, Month, Week & Day
After reading this article you can switch the events calendar between year, month, week and day (the inquiries calendar between month, week and day), see in the year view at a glance how busy each month is, move through busy weeks with ease, spot events that are not yet confirmed at a glance, and see inquiries and events together in one calendar — and you know why inquiries are hidden while a status or invoice filter is active.
The calendar does not show your events by month only: you can switch to a year, week or day view at any time. The year view shows you how busy each month is; week and day help when a single week is packed with events and the month cells get too small.
Switching between year, month, week and day
- Open Events and pick the Calendar view in the top right.
- At the top of the calendar you'll find the Year · Month · Week · Day switch. Click the level you want.
- Use Previous/Next (the arrows) to move by a year, a month, a week or a day depending on the level. Today jumps back to the current period.
- The year view shows all twelve months at a glance (see the next section).
- In month view you can also use the month/year picker to jump straight to a specific month.
- In week view the seven days sit side by side, each with much more room for that day's events.
- The day view shows a single day at full width.
Tip: Your last chosen view is remembered – jump into an event and back and you land on the same zoom level.
Year view: how busy is each month?
The year view is the quickest way to answer whether a date is still free:
- Twelve months side by side. Each day carries a small coloured marker for every event – in the same colour as in the month calendar, i.e. by status or by venue, depending on what you chose under Settings › Status columns › Calendar colour. If more than three events fall on one day, the day also shows +N. Multi-day events appear on every day they occupy.
- Count per month. Next to every month name you see how many events that month has.
- Jump in. Clicking a day opens exactly that day in the day view. Clicking a month name opens that month in the month view. Hover over a day to see the titles of its events – or “free”.
- Same signs as in the month. Events that are not confirmed yet are striped, overlaid open inquiries are dashed (both explained further down).
- Filters work as usual. Search, status, venue, contact, tags, guest count and invoice filters apply here too; cancelled events stay hidden.
If a year has an unusually large number of entries, a note above the grid tells you that not all of them can be shown – narrow it down with a filter or open the month.
Create an event from the calendar
A double-click on a day creates a new event on that date – in month, week and day view alike. In the year view, a click on the day first opens the day view; the double-click works there as usual.
Spotting events that aren't confirmed yet
Events that are still “Planned” show up in the calendar with a striped fill instead of a solid color — no matter which color the event otherwise has. That way you can tell at a glance which dates on the calendar are not yet finally confirmed. Hovering a striped event shows the same explanation right on the bar.
The legend below names the striped area with the name you see in the status filter above: the column's name, followed by – not confirmed yet. Status filter, bars and legend now use the same words — before, the legend said only “not confirmed yet” for the very same column.
The small legend below the calendar only appears if striped events can occur in your workspace at all. If you renamed the “Planned” status, you will not see a legend – that is not an error. Otherwise it stays there permanently, even in months without a single striped event.
The stripes only appear for the default status “Planned”. If you renamed that status, it carries your own meaning in your workspace – the bars then stay solid so that nothing is wrongly read as still open.
Inquiries too
The calendar in the Inquiries area has the same month / week / day switch. Rejected inquiries stay hidden there as usual, unless you filter for them on purpose.
Inquiries and events in one calendar
So you do not have to jump between the two calendars to check whether a date is still free, you can show the other one inside each calendar. You find both switches under Settings › Status columns, right below Calendar colour. They start switched off.
- Show open inquiries in the events calendar: Open inquiries appear in the events calendar with a dashed outline, slightly faded and labelled Inquiry. Clicking one opens the inquiry. The legend below the calendar then shows Open inquiry (not an event yet) — but only when there really is an inquiry in the period you are looking at (see below). The events list, the status view and all event counts stay unchanged — open inquiries only appear in the calendar.
- Show events in the inquiries calendar: Your events appear in the inquiries calendar in grey, labelled Event. Clicking one opens the event. Cancelled events are not shown, and an event that is already shown as an inquiry does not appear twice.
The dashed inquiry is not the same as the stripes: the stripes mark an event that is not confirmed yet; the dashed outline marks an inquiry that has not become an event yet.
Why the legend is sometimes there and sometimes not. The Open inquiry (not an event yet) line only shows while at least one open inquiry lies in the visible period. If you page into a week or month without an inquiry, it disappears — that is not a fault. A legend pointing at no bar would otherwise be hard to tell apart from a vanished event.
With a status or invoice filter active, the inquiries are hidden. If you filter the overview by a status or by invoices, the calendar deliberately shows no open inquiries any more: an inquiry has neither a status nor invoices, so it does not match that filter. So that you are not left wondering where the dashed bars went, the calendar now shows the line Open inquiries are not events yet. They are not counted in any status filter and are hidden while a status or invoice filter is active. Take the filter away and they are back immediately.
Tip: Even without these switches, every inquiry warns you itself when something already overlaps at the same time — see Accept, reject, or convert an enquiry into an event.
