How do I get started with quote templates?

After reading this, you'll be able to create line-item templates and insert them directly when building quotes, invoices, and delivery notes.


Line-item templates save you from entering the same recurring positions by hand every time you start a new quote. Set a template up once in Settings and then insert it into any finance document with a single click.

How do I get started with quote templates?

Creating a line-item template

Line-item templates hold one or more positions, each with a description, quantity, unit, net unit price, and VAT rate.

  1. Open Settings in the left navigation menu.
  2. Click Templates in the sidebar.
  3. Click New Template and choose Finance Document from the dropdown.
  4. You land on the Line-Item Templates page. Click New Template there.
  5. Enter a Template Name, for example "Catering Package Standard".
  6. Add one or more positions: click Position and fill in Description, Quantity, Unit, Unit Price (net), and VAT %.
  7. Click Save.

The template is immediately available in all finance documents.

Using a template in a finance document

Once you have at least one line-item template saved, you can insert it from the Bookings tab of any event.

  1. Open an event and switch to the Bookings tab.
  2. Click Aus Vorlage in the action bar.
  3. The Vorlage auswählen dialog shows all saved line-item templates, filterable by name.
  4. If needed, tick the Produktname verwenden checkbox so the product name from inventory is used instead of the template label.
  5. Click Hinzufügen on the template you want — the positions are appended to the document immediately.
  6. Click Fertig to close the dialog.

You can insert multiple templates one after another and then adjust individual positions as needed.

Editing or deleting a template

  1. Go to Settings > Templates and select Finance Document from the dropdown filter.
  2. Click the template you want to change in the list.
  3. In the dialog you can update the name and positions and then click Save, or remove the template entirely with Delete.

Changes to a template do not affect positions that have already been inserted into existing documents.

Tips

  • Set up your inventory first: Add your products in Inventory beforehand. When creating positions you can then search directly from inventory and prices are filled in automatically.
  • Combine multiple templates: You can insert several line-item templates one after another in a single document to assemble complex quotes quickly.
  • No matching template in the dialog? Close the dialog, go to Settings to create the template you need, then re-open the dialog and it will be available straight away.
