Comments & mentions

After reading this you'll know where to write internal comments, how to address someone directly with @, and where the mentioned person finds the message.

Comments are the internal back-channel in Univents: a quick question on an invoice, a note on a task, an agreement on the schedule. They are always internal — customers never see them. With a mention you address one specific person directly, and only that person gets a notification.

Where you can comment

You'll find the same comment area in eight places:

  • Team chat in the Communication area (the field is already open there)
  • Communication inside an event (the field is already open there too)
  • Event overview
  • Schedule
  • Document (quote, invoice, delivery note)
  • Inquiry
  • Function sheet
  • Task — in the employee portal too

The Communication tab additionally shows a collection of every comment attached to that event — from tasks, documents, inquiries, the schedule and function sheets. You reply where the comment was written.

Mentioning someone

  1. Write your comment as usual.
  2. Type an @ at the start of a line or after a space — or click the @ button next to Save comment.
  3. Find the person in the search field and select them. The name is inserted into your text.
  4. Below the input field you can see who will be notified. The × next to a name removes that mention again.
  5. Save the comment.

The mentioned name appears highlighted in colour in the saved comment.

How you know it worked: only a coloured name was actually delivered. A name you typed by hand stays grey text — nobody was notified. When in doubt, use the picker, not the keyboard.

An email address in your text doesn't get in the way: typing info@customer.com does not open the picker.

Who you can mention

The list holds two groups:

  • Members of your workspace — everyone who signs in to Univents.
  • Contacts with portal access — staff, customers and partners who have been given portal access.

Anyone who is both appears once. Contacts without portal access don't appear at all — they would have nowhere to read the notification. Up to 20 mentions are possible per comment.

One exception: the team chat. Only members are listed in its picker. Contacts with portal access cannot open the team chat, so a mention would be a link to nowhere for them.

Where the mention arrives

  • In the back office: in the bell at the top right. The line names the place (for example Invoice RE-2026-114) and the beginning of the comment. One click opens that place and jumps straight to the comment.
  • In the employee portal: on the home screen under notifications. Anyone who installed the web app also gets a push message.

A mention is visible only to the person mentioned. Other members don't see it, and if someone else dismisses their notifications, yours stays.

Note on financial documents: a mention on a quote or invoice deliberately carries no text excerpt in the notification, only "… mentioned you" plus the document number. That way nobody sees document contents who isn't allowed to see the workspace finances.

Editing and deleting comments

You can change your own comment via the pencil icon; the comment is then marked edited. The bin icon deletes it.

Mentions stay unchanged when you edit. So while changing the text you can neither add nor remove anyone afterwards, and no second notification goes out. If someone else should know, write a new comment.

In the employee portal

Staff comment on their tasks in the portal — with a login just as via an access link without one. The @ picker is available there with the same two groups, so a question from the office can actually be answered.

Mentions currently reach portal contacts through the notifications on the portal home screen. A dedicated "Mentions" page will follow later.

Notifications on your desktop

When you work at your computer and Univents sits in another tab, you miss what lands in the bell. That is what push notifications are for: when someone mentions you, the message appears right on your screen, like one from your mail or chat program.

Here is how to turn them on:

  1. Open Settings, Notifications.
  2. At the very top you will find the card “Push in this browser”. Flip the switch.
  3. Your browser asks once whether Univents may send you notifications — confirm it.
  4. Use “Send a test” to see straight away what such a notification looks like.

Clicking the notification takes you to the comment that means you. If Univents is already open in a tab, that tab comes to the front instead of a second window opening.

Worth knowing:

  • The setting applies per browser and per device. You switch it on separately on the office computer and the laptop at home.
  • Nothing changes in the bell. The notification is just an extra route for the same message — no second entry appears.
  • On a finance document the notification carries no excerpt, only who mentioned you and where. Documents are protected by the finance permission, and that holds on the lock screen too.
  • If it says “Notifications are blocked”, you once declined them for Univents in your browser. Only the browser itself can undo that: allow notifications again in its site settings (in Chrome via the icon at the left of the address bar), then the switch works.
  • When you sign out, push stays on in that browser. On a shared computer it is better to switch it off before you hand it over.
  • On an iPhone the card is not shown: Safari only allows notifications there for sites installed on the home screen. It works on a Mac, on Windows and on Android phones.

Common questions

Can customers see my comments? No. Comments are strictly internal. For talking to customers there is the EventHub chat and email.

Why can't I find a person in the picker? Either they are not a member of the workspace, or they are a contact without portal access. Give the contact portal access and they will appear.

The picker list stays empty. If it says "The list could not be loaded", something went wrong while loading — click Try again. If it says "No one found", only your search term doesn't match.

Do I get an email when someone mentions me? No. Mentions appear in the bell and, once you switch it on, also as a notification on your screen — in the back office as well as in the employee portal. A mention is never sent by email.
