Adjust prices in bulk (e.g. at the turn of the year)
Raise or lower the sales and purchase prices of many items at once by a percentage, with rounding and an old/new preview. Nothing is saved until you confirm; sent and issued documents stay unchanged.
At the turn of the year, or when a supplier raises prices, you don’t want to open every item one by one. With Adjust prices you change the prices of many items by a percentage in one step — and see exactly what will happen first.
How it works
- Open Inventory › Catalog and tick the items whose prices you want to change. With the category filter and Select all you quickly get a whole category, for example all drinks.
- In the selection bar, click Adjust prices.
- Under What to adjust? choose:
- Sales price,
- Purchase price or
- Sales and purchase price.
- Enter the Change in %, for example
4for +4 % or-2.5for −2.5 %. - Choose the Rounding: None (to the cent), To 0.05 or To 0.10. Prices under 1 € — such as a purchase price per gram — are calculated more precisely and not rounded.
- Click Show preview. You see the old and new price of every item and, above, how many items are skipped and why.
- If everything looks right, click Apply prices. Only now do the prices change. Use Back to change the percentage or rounding first.
How many items at once?
Up to 500 items get their prices adjusted per run. If you select more, the dialog tells you up front and leaves Apply prices inactive. Split the selection, for example by filtering one category at a time and running the bulk adjustment twice.
Gross or net
Each item is adjusted on the side you maintain it on:
- Items maintained gross are raised and rounded on the gross price. With +4 % and rounding to 0.10, 5.00 € gross becomes exactly 5.20 € gross; the net price is derived from it.
- Items maintained net are adjusted on the net price, and the gross price follows.
For the purchase price, Univents adjusts the value you entered on the item — per unit or per pack. The purchase price per unit is derived from it just like when you edit the item.
What is skipped
The bulk adjustment leaves these items alone. The preview lists them with a reason:
- Bundles with an automatic bundle price — their price comes from the components and follows by itself when you adjust the components.
- Payroll items and tickets.
- For the purchase price: bundles and recipes whose purchase price is calculated from their components.
- Items without a sales or purchase price.
- Items whose price would not move in the requested direction after rounding — for example, 1.14 € with +0.5 % rounded to 0.10 would become 1.10 €. Such items stay unchanged.
- Items that belong to another operation, if you work with separate operations.
If you choose Sales and purchase price and an item has no purchase price, only its sales price is adjusted.
What happens to quotes and invoices
The new prices apply immediately as the items’ base price:
- New line items use the new price.
- Open drafts keep their price until you recalculate them — just like when you change a price by hand. A new version of a quote also only picks up the new price when you recalculate.
- Sent and issued quotes and invoices do not change.
Your pricing rules (for example weekend or season) keep calculating on top of the new base price.
A new price that only applies from a certain date can’t be scheduled with the bulk adjustment yet. Until then, use a Season pricing rule for time-limited surcharges and discounts.
Undo
There is no undo button, so check the preview. Every price change is recorded in the item’s change log. A counter-adjustment (for example −4 % after +4 %) is possible, but because of rounding it doesn’t always hit the old cent amount exactly.
With the AI assistant
You can also write in the chat, for example “Raise all drinks by 3 %”. The assistant first shows you the preview and changes nothing. Only when you confirm and click the confirmation card are the prices adjusted.
Who can do this?
Any role that may edit in the inventory can adjust prices. The feature is available in every plan that includes the inventory.
