Attachments in the quote PDF: add a menu, plan or fact sheet as pages

After reading this you'll know how to add files such as a menu, seating plan or venue fact sheet as extra pages at the end of your quote PDF — so your customer gets one single file, whether by email, in the customer portal or when signing.

With Attachments in the PDF you add files as extra pages at the end of your quote. Your customer then gets one single file: quote, menu and seating plan in one go — to read, print and forward.

They get the same file everywhere: attached to your email, in the customer portal, as a download and in the signed quote.

How to add a file

  1. Open the quote (it must be a draft).
  2. Below the line items you'll find the section Attachments in the PDF.
  3. Click From computer to upload a file, or From documents to pick a file from the event's documents.
  4. The file appears in the list with its page count. Use the arrows to change the order — the top attachment comes right after the quote.
  5. Generate the PDF again (Generate PDF). Only then are the attachments in the PDF.

To remove a file, click the bin; Univents asks first.

Which files work?

  • PDF, PNG and JPG, up to 10 MB per file, at most 10 attachments and 15 MB in total.
  • Images get their own page in your quote's page format and are fitted to the page.
  • Word, Excel and PowerPoint files don't become pages. Save them as a PDF — or send them as a regular email attachment (see Send a document by email).
  • Password-protected, encrypted or damaged PDFs are rejected when you add them. The quote can still be generated. The same applies to PDFs with embedded files (for example an e-invoice).

A file from the event's documents is copied into the quote. If you delete it from the documents later, it stays in the quote.

Page numbers

The quote's page numbers (“Page 1 of 2”) count only the quote pages. Attachments carry no printed page number.

Signature and sending

  • If your customer signs the quote online, the signed PDF also contains the attachments. The signature and history pages come after them.
  • Once sent, the quote is locked. You change attachments in a new quote version — it carries over the attachments of the previous quote. If a file could not be carried over, Univents tells you right after creating the new version — add it again in the new draft.
  • If quote and attachments together are larger than 10 MB, Univents warns you in the section and in the Send by email window: files that large can't be sent by email. In the customer portal and as a download the PDF stays complete.

Limits

  • Only for quotes, not for invoices, credit notes, delivery notes or order confirmations.
  • Only with layouts of the new print engine. If your quote uses a Word template, the section shows a hint; switch the layout to add attachments.
  • Without attachments your quote PDF stays exactly as before.
