Multi-day events: delivery day per item and one delivery note per day
For an event that spans several days, you assign each item in the quote its delivery day. Univents then creates one delivery note per day with the right delivery date.
When an event lasts several days (trade fair, conference, wedding weekend), not everything is delivered on day one. Univents follows one rule here: one event, one quote, one delivery note per day. In the quote you say on which day each item is delivered, and Univents creates one delivery note per day with exactly those items.
Set the delivery day on an item
- Open the quote of an event that spans at least two days. The quote must be a draft.
- Next to the name of each item there is a Delivery day selector. Pick the day, for example Day 2 · Tuesday, 11/03/2026.
- Whole event means no specific day. Every item starts like this until you choose something.
The selector only appears for multi-day events. For a single-day event nothing changes.
Several items at once: Tick the items with the checkbox on the left. In the bar above, choose the day under Set delivery day … for all selected items.
A whole section: If you work with sections, each section header has Delivery day for section …. All items of the section get that day.
Components of a package or the dishes of a buffet always go with their item and have no selector of their own.
From the web shop: If a request comes in through a booking page with cart per day, every item carries the day the guest picked. You see it on the item and it counts when you click Create delivery notes per day. On its own that day splits nothing: the automation on acceptance only applies to days you set yourself, and in the function sheet the “Day 1 – …” sections stay as before.
If you set an item back to Whole event, the day the guest picked on their booking stays as it is — Univents never deletes a guest’s choice.
What changes for “per hour”
An item billed per hour or per person and hour uses the hours of its delivery day once you set it, no longer those of the whole event. This is the same rule as in the web shop. If a price changes because of it, the editor shows a notice naming the items. An hour count you typed in by hand stays.
Create delivery notes per day
As soon as at least one item has a delivery day, the quote shows the card Delivery notes per delivery day.
- Click Create delivery notes per day.
- Univents creates a draft delivery note for each delivery day that occurs in the quote. It contains exactly that day’s items, and the delivery date in the header is that day.
- Items without a delivery day (for example drinks for the whole event) go on the delivery note of the first delivery day.
Clicking again never creates duplicates: an existing day delivery note (draft) only gets the missing items. Items that are already on a delivery note of the event aren’t added again. Sent or completed delivery notes stay unchanged.
The button also works on an accepted quote. Delivery notes per day are available from the Core plan.
Automatically on acceptance
If you have set in Settings → Finance documents that a delivery note is created automatically on acceptance: when the quote has items whose delivery day you set, you get one delivery note per day instead of a single one. Without such delivery days you get one delivery note as before — including days that come from the web shop alone.
“Items changed” notice
If you later move an item to another day, the delivery note of the old day (while it’s a draft) shows the notice Items changed with a link to the quote. Reconcile it by hand. Univents never changes delivery notes silently.
Group by day in the PDF
In the quote, switch on Sort tables by delivery notes under PDF settings. Items on a delivery note are listed under that delivery note. Items with a delivery day that aren’t on a delivery note (yet) are listed under a heading with their day. This applies to the new layout (HTML), not to Word layouts.
Copying, templates and the AI assistant
- Copy event: When you copy an event to another date, the delivery days move with it (one week later ⇒ every day one week later).
- New quote version, duplicate: The delivery day is kept.
- Templates: A template remembers “Day 2” instead of a date. When you apply it to another event, the item lands on that event’s second day. If the event has fewer days, Whole event applies.
- AI assistant: Write, for example, “Put the breakfast in the quote on Tuesday and make one delivery note per day”.
Event shortened?
If a delivery day falls outside the event after you change its dates, the quote shows a warning at the top naming the affected items. Set their delivery day again.
What isn’t possible
- Splitting one item across several days (for example 100 rolls on Monday, 80 on Tuesday). Create one item per day instead.
- A time per item. Only the day counts.
- An invoice per day. There is still one invoice per quote.
