Communication: overview & team chat

After reading this you'll know where to see every comment in your workspace at once, how to narrow the list down, and what the team chat is for.

Comments happen everywhere in the product: on an invoice, on a task, on the schedule. Until now you had to look for them where they were written. The Communication area in the sidebar shows them all on one page — and above them sits the team chat for everything that doesn't belong to an event.

The team chat

At the top of the page there is an input field that is already open. Whatever you write there is read by every member of your workspace. Customers and partners never see the team chat.

It is meant for anything unrelated to a particular event: "The storage room is locked on Friday", "Team round at 10 tomorrow", "Who is driving the van next week?".

You can address someone directly with @, exactly like in any other comment. The mentioned person gets a notification in their bell, and one click jumps straight to your message.

The team chat picker lists members only. Contacts with portal access are deliberately missing: they cannot open the team chat, so a mention would be a link to nowhere for them. Address them on the task or document in question instead.

To send it, click Send or press Ctrl+Enter (Mac: Cmd+Enter) — exactly like any other comment. Enter on its own only starts a new line.

The history has a fixed height and scrolls inside itself; the input field always sits below it. When you open the page you start at the newest message. If a new one arrives while you are at the bottom, it follows automatically — if you are reading further up, a New message hint appears at the bottom instead, and clicking it takes you to the end.

You can edit your own messages with the pencil icon and remove them with the bin — other people's you cannot.

The overview of all comments

Below the team chat sits the collected stream: every comment in this workspace, newest first — with one exception: team chat messages already show up in the field above, so they do not appear again under All. Under Only me and From me they are included; those views answer the question “what concerns me”, and that does not stop at the team chat.

Above each day there is a separator line — Today, Yesterday or the weekday with the date. The row itself then only carries the time; hover it to see the full date.

Each row shows

  • the area as a label (task, event, schedule, document, inquiry or function sheet),
  • the name of the object, for example the invoice number,
  • who wrote it and when,
  • and the text including highlighted mentions. Your own name is coloured, every other mention stays neutral — so you can see at a glance what is meant for you.

Clicking a row takes you to the place where the comment lives and jumps straight to it. For a task comment the task opens in its dialog, even if it was completed long ago. You always reply there, never in the overview. That way every comment has exactly one home.

At the bottom you'll find Show older. The button loads the next entries and disappears once you reach the end.

New comments while you read

When someone writes anywhere in the workspace, the row is not simply pushed in between yours — that would make the text slip away under your finger. Instead a button appears above the list, for example "3 new comments". Only your click brings them to the top of the list, and the counter goes back to zero.

Two things about it:

  • Your filters count. If you have narrowed down to one event and someone comments on another, the counter does not go up.
  • With the filter Only me the button stays quiet. Whether a new comment means you can only be said once it is loaded — a counter for it would be guesswork. And you learn about a mention right away through the bell anyway.
  • A team chat message doesn't count twice under All. It shows up directly in the team chat field above; the overview below does not also count it as a "new comment" there.

When someone edits a comment you are currently looking at, its text changes immediately. That shifts nothing and therefore doesn't have to wait.

If the connection drops, the note "Connection lost, reloading" appears. As soon as it is back, whatever you missed lands in the counter.

The team chat above behaves like every other comment area: new messages appear there directly, without a button.

Narrowing the list down

At the very top of the filter bar sits All / Only me / From me — it's the choice you change most often, so it comes first. Below it are three more filters, all combinable:

  • All / Only me / From me — narrows down to the comments you were named in, or to your own. Both views include the team chat.
  • Event — only comments belonging to one event. The list offers exactly those events that actually have comments, each with its date — so you can tell apart several parties with the same name. Just start typing and the search covers every event. No event shows what belongs to none of them.
  • Area — documents only, tasks only, the schedule only, and so on.
  • Period — the last 7, 30 or 90 days.

On the right of that same card you'll see how many comments are currently loaded, for example "24 comments". Once any filter is active, a Reset filters button appears next to it that puts everything back to All. While a filter change is loading, the list dims briefly — the old selection is still on screen but no longer applies.

If a combination finds nothing, you'll read "No comments match this selection." with the same reset button. That is a different message from "There are no comments in this workspace yet." — so you can tell whether your filters are too narrow or nothing has been written at all.

The counter in the sidebar

A number next to Communication means your unread mentions. Mentions of colleagues do not count towards it — everyone sees their own number. At zero it disappears entirely.

There are two ways to bring it down:

  • You open the Communication area. Everything on the page — the team chat at the top and the comments in the list below it — counts as read. The number drops right away, no reload needed.
  • You read or dismiss the notification in the bell.

Both feed the same number: what you have seen here disappears from the bell as well.

The counter does not simply jump to zero, it drops to the honest remainder. Mentions that were not on the page — because they sit further down behind Show older, or because they hang somewhere this page does not display — stay unread. So if a number is still there after you opened the area, you really do have something left.

What you will NOT see here

The overview only shows what you are allowed to see anyway:

  • Without the View finances permission, no document comments appear — neither the row nor the excerpt nor the document number.
  • Without the View events permission, comments on tasks, events, schedules and function sheets are missing.
  • Inquiry comments and the team chat are visible to every member.

Being mentioned on a task

When someone mentions you on a task, both the row in this overview and the notification in the bell take you straight into the task dialog — no longer just to the task list. The comment in question is briefly highlighted there.

This also works for completed tasks and for tasks far down the list: the task is loaded on demand. If it has since been deleted or is not visible to your role, a note tells you “Task not found” instead of leaving you on the list without a word.

In the task dialog the comment section starts open and carries the count in its heading, for example Comments (2).

Common questions

Can I reply directly in the overview? No, except in the team chat at the top. A comment should have exactly one place where it is written — click the row and you are there.

Do customers see the team chat? No. It is strictly internal, like every comment in Univents.

Why doesn't a team chat message show up in an event's Communication tab? Because it doesn't belong to any event. That tab only shows what is attached to that one event.

Where do I find the mention the bell is talking about? Click the notification — it leads straight to the comment and highlights it briefly. Alternatively set the Only me filter here.

Why don't I see a team chat message in the "Comments" list? It already shows up in the team chat field right above — under All the list hides it so nothing appears twice. Under Only me and From me it is included.

I was mentioned in the team chat. Why didn't that show under Only me before? That was a bug and was fixed on 08 September 2026. Only me and From me now include team chat messages.
