Group overview: key figures of several workspaces at a glance

After reading this you'll know how, as the owner of several workspaces, you compare their key figures on one page, who sees the group overview, which plan includes it, and how the figures and the total are calculated.

If you run several businesses in separate workspaces, for example one company per location, you had to switch workspaces for every figure. The Group overview shows the key figures of every workspace you own on one page: one column per workspace, the total on the right. It is view-only, you don't change anything there.

Where to find the group overview

Open Reports and click the Group overview card. The card only appears if you are the owner of at least two workspaces. You can open it from any of your workspaces, it always shows the same group.

The Back to reports link takes you back to the reports overview of the workspace you are currently in.

Which workspaces belong to the group

  • Only workspaces you own. Workspaces where you are an admin or member never appear, not even with all permissions.
  • Deleted workspaces don't appear.
  • Everyone only sees their own group. Your colleagues don't see your group overview.

How to create another workspace is explained in Creating an additional workspace.

Which plan includes it

The group overview is included from Scale. It is enough if one of your workspaces is on Scale: you then see every workspace you own, including those on smaller plans. A running Scale trial counts as well.

If none of your workspaces has Scale, the page shows a note on how to unlock it instead of the figures. If a trial ends and no other workspace has Scale, the figures disappear again and the note is shown.

The key figures

RowWhat countsPeriod
RevenuePaid invoices, gross, by payment date. Below it the previous month and the change in percent. For the current month it is the same figure as the Revenue tile on the workspace dashboardselected month
Open quotesTotal and number of quotes that are drafts, have been sent or have a change requestcurrent status
Open inquiriesInquiries that are new or in progresscurrent status
ConversionShare of the inquiries received in the selected month that have an accepted quote. Below it, how many out of how manyselected month
Open invoicesIssued or sent invoices that are not yet paid, gross. Below it the overdue sharecurrent status
EventsEvents starting in the selected month, excluding cancelled and archived onesselected month

At the top right you choose the period: This month or Last month. All columns and the total are then calculated for the same calendar month, each in the workspace's time zone.

How the total is calculated

  • The total adds up every column that shows a figure.
  • A dash in a column means you have no access to that area in this workspace, or the figure could not be loaded. Such values are not included in the total, which then carries the note excluding columns with a dash.
  • The total conversion is weighted: all accepted quotes divided by all inquiries. An example: Düsseldorf won 1 of 2 inquiries (50 %), Cologne 1 of 10 (10 %). The total shows 2 of 12, about 17 %, not the average of 30 %.
  • If your workspaces use different currencies, Univents doesn't add up money amounts and shows a note instead. Counts such as inquiries and events are still added up.

One click takes you into the workspace

Every figure is a link into the workspace of its column, to the matching area:

  • Revenue opens the workspace dashboard.
  • Open quotes opens finance documents, filtered to quotes.
  • Open inquiries opens inquiries.
  • Conversion opens the booking funnel for the same period.
  • Open invoices opens the Outstanding invoices report.
  • Events opens the calendar in the selected month.

Clicking a workspace name in the table header opens its dashboard.

Frequently asked questions

Why don't I see the Group overview card? You only own one workspace. In workspaces where you are an admin or member, your role doesn't count towards the group.

Why is one of my workspaces missing from the table? You are not its owner, or the workspace has been deleted.

Why does the revenue differ from the financial breakdown? Like the dashboard, the group overview counts paid invoices gross by payment date. The financial breakdown counts issued invoices net by document date.

Can I ask the AI chat about the group overview? No. The chat always works in exactly one workspace. Ask it about the figures inside the respective workspace.

Can I export the group overview? Not at the moment. For figures per workspace, use the Excel export of the financial breakdown or the booking funnel.
