Creating an invoice without an event

After this article you can issue an invoice straight from a contact, without creating an event first.

Not every invoice belongs to an event. Lessons, consulting, maintenance, a pass-through cost — for those you can create an invoice straight from the customer.

How it works

  1. Open Contacts and pick the customer.
  2. Click Create invoice at the top right.
  3. The invoice is created and opens in the editor right away, with the customer already set as the recipient.
  4. Add your line items as usual — from the catalogue, from a line item template, or by hand.
  5. Issue and send it. It gets a number from the same number range as every other invoice.

What differs from an event invoice

The editor is the same. Only the four features that require an event are hidden:

  • Importing the event's bookings
  • Billing shifts
  • Adopting tracked working time
  • Taking line items from other documents of the same event

Everything else — line item templates, discounts, layout, early-payment discount, payment terms, reminders, PDF and sending — works unchanged.

Note: In the customer e-mail the placeholders for event name and event date stay empty, because there is no event. If your template leans heavily on those, a separate version without them is worth it.

Finding them again

Invoices without an event appear in the Finance documents overview like any other document, and clicking the row leads straight back into the editor. The same route exists on the customer's contact page: the Finance tab lists every document of that customer, and each row opens the document for editing. The back link at the top left of an open document takes you to the overview again.

Requirements

  • You need permission to create documents (Finance → Create). Without it the button does not appear.
  • Your plan must include standalone invoices. Without it you can still create invoices from an accepted quote.
  • To send anything above €250 gross the customer needs a complete address — that is required by § 14 German VAT Act, event or not.
