Moving from your previous system: what happens to your data
What gets automatically carried over from your previous system when you move to Univents, what deliberately doesn't transfer automatically, and what to do if something's missing.
If you're moving from your previous system to Univents, you don't have to re-enter all your existing data from scratch. This article explains what gets carried over automatically, what deliberately doesn't transfer automatically, and who to contact if something's missing after the move.
What gets carried over automatically
During the move, your core data from your previous system is transferred to Univents, including:
- Events — existing and past events with their core details.
- Contacts — people and companies from your CRM.
- Documents — quotes, invoices, and delivery notes with their line items.
- Products — your product catalogue, including prices.
Beyond that, Univents generally also carries over related data, such as bookings and booking line items, tasks, jobs and shifts, recorded working time and vacation, as well as tags. The exact scope depends on what was actually maintained in your previous system.
If your workspace is still running in parallel with your previous system, Univents automatically syncs the data in the background for as long as the transition is ongoing — changes you make in the previous system get picked up. During this phase, it's best to make new changes directly in Univents so nothing ends up maintained twice.
What deliberately doesn't transfer automatically
Not every detail can be carried over 1:1 automatically — very freely formatted extra fields, individual edge cases, and some file attachments in particular may need manual follow-up. That's not a sign something went wrong; it's a deliberate choice: a cleanly reviewed record beats one that was transferred automatically but possibly incorrectly.
What to do if something's missing
If you notice after the move that an event, contact, document, or other record is missing or doesn't look right, reach out via the Help button in the app or email support@univents.app. Please be as specific as possible about which record it is (e.g. the event name, document number, or contact name) — that helps us track down the cause quickly.
Frequently asked questions
Do I have to re-enter my data myself? No, the move is designed to be an automatic process. If you do notice a gap, please report it via support instead of creating the record a second time — otherwise you can end up with duplicates later.
Is my data deleted from the previous system? Moving to Univents copies your data; it doesn't retroactively delete it from the previous system. We'll let you know separately exactly when your access to the previous system ends.
How do I tell that a record was carried over from the previous system? Visually, Univents makes no distinction — you see and edit carried-over records and ones newly created in Univents the same way. For questions about a specific record, support can help.
What if I change something in the previous system while the transition is ongoing? As long as your workspace is still running in parallel with the previous system, changes made there get picked up automatically. The reverse isn't true, though: changes you make in Univents don't flow back into the previous system. So it's best to enter new changes directly in Univents going forward.
