How do I connect my sevdesk account?
How to connect sevdesk to Univents and transfer issued invoices to your accounting with one click.
With the sevdesk integration you transfer an issued invoice to your accounting with a single click — including all line items, tax rates and the recipient as a customer. No double data entry, no retyping of amounts.
Where do I find my API token?
You connect sevdesk with a token from your own sevdesk account:
- Sign in to sevdesk.
- Open Settings → User and click on your user.
- Scroll to the API token section and copy the token.
The token belongs to the user you take it from. Invoices transferred by Univents appear in sevdesk under that user.
Connect your account
sevdesk is included from the Growth plan upwards. On smaller plans the card shows an upgrade notice instead of the connection — you can connect sevdesk only after upgrading.
- In Univents, open Integrations on the left.
- Click the Accounting category on the left (or type the name into the search box).
- Click sevdesk.
- Paste your token into the sevdesk API token field.
- Click Check & save.
Univents checks the token immediately with a harmless read request and only stores it if it works. On success the card shows Connected.
Connecting and disconnecting requires settings permissions in the workspace.
Transfer an invoice
- Open the invoice you want to transfer.
- Click Transfer to accounting at the top.
- Confirm with Transfer now in the dialog.
Univents creates the invoice in sevdesk with the status Open and then shows you the document number sevdesk assigned.
Transferring requires edit permission for the Finance module.
Good to know:
- Only issued invoices are transferred. Drafts and cancelled invoices have no transfer button — they should not show up in your accounting at all.
- sevdesk assigns its own document number. Your Univents number is written into the invoice header text so you can match both documents.
- The recipient is created in sevdesk as a customer — with address, email and phone number where available — or reused if they already exist there unambiguously. The next invoice for the same customer does not create a second contact.
- Small-business invoices under § 19 UStG cannot be transferred yet. Please create them manually in sevdesk.
- The German tax rates 0 %, 7 % and 19 % are transferred. If a line item uses a different rate — 20 % for Austria, for example — Univents tells you before the transfer and names the affected line item. Please create those invoices manually in sevdesk.
- If the customer was created in sevdesk but their address could not be written along with it, the dialog stays open after the transfer with a note. The invoice is already in sevdesk at that point — just add the address there, otherwise the document cannot be sent.
Take over payments automatically
If a transferred invoice is marked as fully paid in sevdesk, you can have that taken over automatically on our side too.
- Open Integrations → Accounting → sevdesk.
- Turn on Take over payments.
From then on we check every hour whether a transferred invoice is marked as paid in sevdesk, and mark it as paid in Univents as well. Invoices that are already paid or cancelled with us are left untouched.
Important:
- Do not use this switch together with the bank statement import (payment matching) for the same invoices. Otherwise the same payment gets recorded twice — once from the bank statement, once from sevdesk.
- Only fully paid invoices are taken over. We do not take partial payments into account yet.
- The switch is off by default and applies per connection.
Turning it on or off requires settings permissions in the workspace.
Transfer customer contacts
Instead of creating each customer one at a time while transferring an invoice, you can also transfer all your customers to sevdesk at once.
- Open Integrations → Accounting → sevdesk.
- Click Transfer customer contacts.
- Univents shows you how many contacts will be transferred. Confirm with Transfer now.
Good to know:
- Only contacts that are the recipient of at least one quote or invoice are transferred. Plain address-book entries with no document — everyone who ever sent you an email, for example — are deliberately left out.
- Contacts already linked to sevdesk are skipped and counted as “already linked” — no second contact is created.
- Univents only creates new contacts; existing contacts in sevdesk are never changed.
- The transfer runs in the background with a progress bar. You can leave the page while it runs.
- If you cancel the transfer, contacts already created stay in sevdesk — that cannot be undone.
Starting or cancelling requires settings permissions in the workspace.
When something goes wrong
On Integrations → Accounting → sevdesk the Transfers section lists the most recent documents with their status and, if something failed, the reason in plain language. Common reasons:
- Token no longer accepted — the token was revoked in sevdesk or the user was deleted. Get a new token and enter it via Replace key.
- No recipient — the invoice has no customer assigned. Add one and transfer again.
- Tax case not supported — the invoice uses § 19 UStG or the reverse charge mechanism. Create it manually in sevdesk.
Transfer an invoice again
If you open the dialog for an invoice that was already transferred, you see the sevdesk document number and an extra checkbox. Only tick it if you really want a second document in sevdesk — you will have to delete the first one there yourself.
Disconnect
Click Disconnect on the card. Your token is deleted from Univents. Invoices already transferred stay in sevdesk; new transfers are only possible after reconnecting.
Frequently asked questions
Are invoices transferred automatically? No. Every transfer is a deliberate click. That is intentional: you decide what ends up in your accounting.
Are my customers transferred automatically? When you transfer an invoice, only its recipient, at the moment you transfer it. If you want to create several customers at once, use Transfer customer contacts above.
Are quotes or delivery notes transferred? No, invoices only.
Are payments reported back from sevdesk? Only if you turn that on. Off by default — enable Take over payments to do so (see above).

Can I connect several sevdesk accounts? No, one connection per workspace.
