Setting up an event configurator with the AI assistant
After reading this article you’ll be able to set up an event configurator, its questions and your event types in the chat, and you’ll know what the assistant deliberately doesn’t do.
You can set up an event configurator entirely in the AI assistant: create it, fill its chapters, style it and activate it. The assistant also creates the questions it needs, plus event types and cost centres. The event configurator has to be enabled for your business. If it isn't, the assistant tells you.
Creating a configurator
Open the AI assistant and describe what you need, for example:
- “Create a configurator for weddings using the wedding template.”
- “Create a blank configurator for company parties, for planning after the booking.”
The assistant uses one of the templates Wedding, Company party or Start blank. The templates come with chapters and texts and add your selection questions (multi-select with answers) automatically. The texts are in your business’s language.
The configurator applies to events with its occasion tag, such as “Wedding”. The assistant uses a tag you already work with. If no event carries that tag yet, it points this out.
A new configurator is inactive. Your guests only see it once you activate it.
Setting up chapters
The assistant works on one chapter at a time. You can ask it to
- add a chapter, rename it, move it or hide it,
- make a chapter a required chapter,
- add blocks: text, question, selection, package or summary,
- change the text of a text block, or switch a selection between tiles and list and turn the quantity field on or off,
- add a description to an image.
Good to know: Anything the assistant doesn’t touch stays exactly as it is, including bold text and lists in your texts. If you have a text rewritten, it’s saved as plain text with paragraphs.
Images without a description can’t be published in the editor. If one is missing, the assistant tells you which image it is and adds the description if you ask.
Design, prices and “Always included”
The assistant also sets colours, fonts and the price display (gross or net). Your logo and cover image stay as they are. If a colour has too little contrast with the background, it rejects it and explains why.
Under Always included you choose products that are added as a line item to every inquiry, such as a service fee. Only products from your own range work, and for items with variants a specific variant. If a product you name doesn’t fit, the assistant says so and saves nothing.
Activating
Say something like “Activate the wedding configurator”. It then applies to events with its occasion tag that are created from now on. Each occasion can have one active configurator before the booking and one for planning afterwards. If one is already active, the assistant names it. You deactivate it first or pick a different occasion.
Before the assistant activates a configurator, it shows you a confirmation. Guests only see the configurator after you click it. Deactivating works without asking.
Creating and extending questions
A selection in the configurator needs a Multi-select question with answers. The assistant creates it in the question catalogue (Inventory → Questions) and, if you like, links answers to your products. When a guest picks such an answer, it becomes a line item at the product price.
The assistant adds answers to existing questions or changes their text and linked products. Answers you don’t mention are kept. If you change only the minimum or only the maximum number of answers, the other limit stays as it is. If the assistant renames a question or answer, existing translations stay unchanged – it tells you which languages to update under Inventory → Questions. Questions are a shared catalogue: a change applies everywhere the question is asked, on booking pages, on products and in configurators.
Event types and cost centres
If an event type or cost centre is missing, the assistant creates it, renames it or archives it. If the name already exists, even archived, it tells you and offers the existing entry. More in Reporting by event type & cost centre.
What the assistant deliberately doesn’t do
- Delete anything. It doesn’t delete configurators, chapters, blocks, questions or answers. It hides a chapter instead.
- Upload images. You upload images, your logo and the cover image in the editor.
- Replace everything at once. It changes one chapter after another so your guests’ answers stay attached to their blocks.
You’ll find the editor under Booking Pages → Configurators. If it’s open while the assistant changes something, it shows the new version. If you still have unsaved changes there, a notice with Reload appears instead – so nobody overwrites the other’s changes.
