Creating an additional workspace

After reading this you can create a second workspace, switch between your workspaces, and judge when that is worth it and when it is not.

A workspace is a self-contained world of its own: its own events, contacts, products, documents, members and settings. Two workspaces see nothing of each other. You can work in several of them with the same login and switch between them at any time.

When a second workspace makes sense — and when it does not

Create a second workspace if you run two separate businesses: a second company, an independent brand with its own letterhead and bookkeeping, or a location that is billed entirely separately.

For everything else there is usually a better route inside the same workspace:

The reason: everything you have built in one workspace — products, contacts, templates, automations — is not available in the other. Two workspaces means maintaining everything twice.

Creating the workspace

  1. Click the name of your workspace at the top of the left sidebar. The workspace picker opens.
  2. Click Create a Team at the bottom of the list.
  3. In the Create a Team dialog, enter a team name — the name your team and your documents will see.
  4. Only for names in a non-Latin script (Cyrillic, Greek or Chinese, for instance) does an extra team URL field appear. Enter an address yourself then, using lowercase letters (a–z), digits (0–9) and hyphens, for example salz-und-sonne-catering. With an ordinary name the field is not shown — Univents derives the address from the name itself.
  5. Click Create a Team.

Univents creates the workspace and switches straight into it. You are its owner automatically.

Switching between workspaces

Through the same picker at the top of the sidebar: click the workspace name, then the workspace you want to switch to. Univents remembers per workspace where you last were.

Setting up the new workspace

A new workspace starts empty — nothing is carried over from the existing one. What to do first is described in How do I get started and set up my workspace?: company details, branding and team.

If products or contacts should come over from the first workspace, you need them as an Excel or CSV file — from your original source, for instance — and feed them in through the import, see Excel import for events, products and contacts. There is no button that writes products or contacts out of a workspace; what you can export today is documents, reports and the payroll export.

Frequently asked questions

Does a second workspace cost extra? Every workspace has its own subscription. What applies in your case is shown in the new workspace under Settings → Billing; for questions about billing several businesses write to support@univents.app.

Will my colleagues see the new workspace automatically? No. Members are per workspace. Invite them again in the new one.

Can I move data between two workspaces? Not directly, and there is no export for products or contacts. The route goes through your own Excel/CSV file and the import on the target side; events and documents stay where they are.

Can I delete a workspace again? Yes, as the owner under Settings → Account. Leave team is there too, if you only want to remove yourself. Deletion removes all data of that workspace and cannot be undone; it is protected by a confirmation code.

Can I rename the workspace later? Not the workspace name from the creation dialog — there is currently no screen for that. What appears on quotes, invoices and emails is your company name under Settings → Company anyway, and you can change that at any time. Still, pick the team name carefully: your workspace address is derived from it, and that address stays.
