Connect your till (APRO)

How to connect your APRO till to Univents: request activation, enter the key, see events as till accounts at the till, and disconnect when needed.

With the APRO integration your confirmed events show up as a till account right at the till. Service staff book the consumption on the event using the payment method Univents, Univents picks up the bookings and shows them in the till reconciliation. From there you adopt them onto the final invoice with one click. How that works is described in the article “Till reconciliation”.

Request activation

The till integration is not switched on in every workspace by default. Send us a short note via support and we will activate it for your workspace. Until then, Integrations › Till › APRO shows a note about activation and the till reconciliation cannot be used.

Connect the till

To connect you need the permission to change workspace settings, as owner or admin. You get the API key from APRO.

  1. In Univents open Integrations and then the Till category.
  2. Click APRO POS.
  3. Enter the API key.
  4. Choose the Environment: Test while you are only trying things out, Live for real till operation.
  5. Choose the Category for till lines. This field is required: the till items end up under this category on the invoice later. Without a category you cannot connect.
  6. If needed, open Advanced. It holds the APRO location number, pre-filled with 1. Only change it if APRO gave you a different one. If APRO gives you a separate key for the sales evaluation, enter it in the second key field.
  7. Click Connect.

Univents checks the key with APRO right away and saves it only if it works. The page then shows Connected with the environment and the number of events visible at the till. If APRO rejects the key, you see “APRO rejected the API key.” Nothing is saved and an existing connection stays unchanged.

Two rules always apply:

  • A Live connection only works in the real Univents production system, not in test environments.
  • The same key with the same location number can be connected in one workspace only.

Settings

  • Till account stays open after the event ends: How many days after an event ends you can still book on its till account. The default is 2 days, 0 to 7 are possible.
  • Assign product groups: Optionally give individual till product groups their own category. Everything without an assignment uses the category for till lines.

What appears at the till

  • A till account per event: An event with the status Confirmed appears at the till from the start of the event day. It stays until the event ends plus the number of days you set. Options, inquiries and templates do not appear.
  • Display: Service staff see room · name · time, for example “Festsaal · Career Day 2026 · 08:00”. The name is cut off after 40 characters. If two events fall on the same day, they differ by room and time. If you rename an event, only the display changes.
  • Once reported, it stays: A till account stays until its time window ends, even if the event’s status changes, for example to “Invoice due”. It only disappears earlier if the event is cancelled or deleted.
  • Collection account: The list always contains one more account, Event – please assign. Service staff book everything on it that they cannot assign to an event. You find these bookings later in the till reconciliation under Without event.

If there is no confirmed event today, the page says “The till only shows the collection account today.”

When Univents syncs

  • The list of till accounts goes to the till about every 15 minutes.
  • Univents picks up new bookings every hour.
  • Sync with till triggers both immediately, for example right after confirming an event. You need the Edit finances permission for this. While a sync is running the button is locked and the time of the last sync is shown next to it.

If syncing fails for a longer time, owners and admins get a message in Univents: when the till accounts have not been transmitted for more than 45 minutes, or retrieving bookings has not worked for more than 3 hours. The message says in plain words since when it has been failing and goes away after the next successful sync.

Disconnect

Under Danger zone click Disconnect. The dialog first tells you how many till accounts will be closed at the till immediately. After you confirm, Univents picks up the bookings one last time. The till reconciliation stays readable, existing receipts are not lost.

The same happens automatically when the activation for your workspace ends or APRO no longer accepts the key. In the second case owners and admins get a message.

Frequently asked questions

An event is missing at the till. Check that it is set to Confirmed, that the event day has started and that it is not cancelled. Then click Sync with till. Until then service staff can book on the collection account and you assign the receipts later.

A booking is on the wrong event. In the till reconciliation you can rebook the receipt as long as it has not been invoiced.

Who can do what? Owners and admins can connect, disconnect and change settings. Syncing, assigning and adopting need Edit finances. You can view the till reconciliation with View finances.
