Connect your till (LINA)

How to connect your LINA till to Univents: sign in, assign table areas to venue rooms, decide what goes on the final invoice, and invoice the tables in the till reconciliation.

With the LINA integration Univents collects the revenue journal of your LINA till — table by table, per business day. Each table is assigned to an event and then shows up in the till reconciliation. From there you adopt the consumption onto the final invoice with one click. How that works is described in the article “Till reconciliation”. Univents changes nothing at the till itself.

Activation

Univents activates the LINA integration per workspace. Without activation you see no LINA card under Integrations → Till. A workspace connects exactly one till — APRO or LINA.

On the LINA side your venue books the interface modules read revenue journal (revenuejournal_read) and read item master (merchandisemanagement_read) with Gastro-MIS. Without the revenue journal Univents can’t collect anything; without the item master the tables arrive without a product group and all land in the category for till lines.

Connecting the till

To connect, you need, as owner or admin, the right to change workspace settings.

  1. In Univents open Integrations, category Till, and click LINA till.
  2. Choose the store: Live operation for your real till or Demo store for a test store set up by Gastro-MIS.
  3. Choose the category for till lines. It is required, because an invoice can only be sent with a category on every line.
  4. Click Sign in with LINA. You land at LINA, sign in with an account that may manage the store, choose the store and agree. Then you are back in Univents and the connection is up.

Alternatively, use Enter access details to enter the client ID, the client secret and a refresh token from LINA (Config → Interfaces → Third Party API). Univents checks them with LINA right away and only saves them if LINA accepts them. The refresh token only works once — if connecting fails, create a new one in LINA.

Only change the LINA address if Gastro-MIS gives you a different one.

Assigning tables to events

LINA doesn’t know events. Univents therefore assigns every table itself — in two ways you switch on and off separately:

  • By table area: under Assign table areas you see the sales points and operating points from LINA and tick, per area, the venue room it is in. A table then belongs to the event running in that room at the time of booking.
  • By debtor: if a table in LINA has a debtor, it belongs to the event of the customer with the same customer number (field “External customer number”, otherwise the customer number in Univents).

With lead time and follow-up time you set how long before the start and after the end bookings still count for the event (default 2 and 6 hours — so the nightcap after midnight is included too). Cancelled events never receive a table automatically.

If a table fits no event or more than one, Univents doesn’t assign it. It then sits in the till reconciliation under Without event, and you assign it there by hand with Assign receipt. Nothing is lost. A manual assignment stays, even if the table comes in from LINA again later.

What goes on the final invoice?

Under Payment methods “on account” you enter the numbers of the LINA payment methods that leave a table open for the final invoice (for example “Invoice” or “Event”). You find the numbers in the Assign table areas dialog under “Payment methods in LINA”. With Table with debtor goes on account, every table with a debtor counts as well.

  • Tables “on account” show up in the till reconciliation as open till bookings of the event and can be adopted onto the final invoice — or closed without invoice with a reason.
  • Tables paid at the till (cash, card …) show up with their payment method at the event under Paid at the till, are never adopted and count toward the day’s cash sales.

Univents catches up on cancellations and late-closed tables: every run reads today and the configured days back (default 3). A cancelled table then has no open positions left; if it was already on an invoice, it is marked “needs review”.

Collecting and status

Univents collects from LINA every hour. With Collect now on the LINA page or Sync with till in the till reconciliation you collect right away, for example directly after the event. LINA allows at most 100 requests per 15 minutes; if the limit is reached, try again after a few minutes.

The status shows the store, the last collection, the number of receipts without event and an error in plain text. If nothing comes from LINA for more than three hours, owners and admins get a notification. If LINA repeatedly rejects the sign-in, the connection is disconnected and you sign in again.

Disconnecting

Disconnect stops collecting and deletes the sign-in. Receipts already collected, assignments and adopted invoice lines are kept and can still be invoiced.
