AI credit and usage

What AI credit is, where to see your balance, which AI features spend credit, how to top up, and what happens when your balance runs out.

Several AI features in Univents — the chat assistant, AI actions in automations, the offer import, and the AI layout from PDF — run on a shared, prepaid AI credit balance for your workspace. This article shows you where to see your balance, what spends credit, how to top up, and what happens when it runs out.

What is AI credit?

AI credit is a prepaid account per workspace (team account). Every AI request — a chat message, an AI action in an automation rule, an AI import, or an AI layout generation — is charged against the balance based on actual usage. If the balance is used up, that particular AI feature is stopped or skipped; the rest of the app keeps working normally.

New workspaces automatically receive a welcome credit on their first AI call — this shows up in the history as Welcome credit.

Where do you see your balance?

Your AI credit lives in the team workspace under Admin → Billing (personal accounts don't have a billing page):

  1. Open the Admin section in the sidebar.
  2. Click Billing.
  3. On the billing page you'll find the AI credits card with your current Balance shown as a large amount.

Right below it, a line shows whether Auto-reload is on (including the amount and threshold) or off. If the last automatic reload failed, a warning also appears with a tip to update your saved card.

Further down the same page is the AI usage card with a compact overview: balance, This month's spend, and Calls (month).

What spends credit

FeatureWhat happensMore on this
AI assistant (chat)Every message in the chat window spends credit. The model switch lets you choose between Simple and Complex — Complex (Opus) is meant for hard tasks and costs more per message.AI Assistant: chatting with Univents
AI actions in automationsTwo of the nine action types use AI: AI classification fills a target field based on labels you define, AI reply draft creates a reply draft (only for the Email received trigger) that a human reviews and sends. At most one of the two AI actions is allowed per rule. If the balance runs out, only that one action is skipped — the rest of the rule still runs.Actions of an automation
AI offer import & event planningWhen creating an event you can upload an offer PDF — Univents reads it and creates the event, contact, and a draft quote, optionally also shifts, a schedule, and tasks as AI drafts. Likewise, Plan from quote (from a quote already linked to the event) spends credit when you generate a task list, function sheet, schedule, floor plan, additional documents, or shifts/crew. Both paths are billed by actual usage.Create an event with the creation wizard
Layout from PDF (AI)In the financial-document layout editor you can upload an existing offer PDF — the AI rebuilds it as a new layout with matching structure, colors, and free texts, as an additional layout card. This is the most resource-intensive AI flow in Univents (reading, building, and up to two improvement passes with a quality check). How do I create layouts for financial documents?

Every AI draft (tasks, schedule, function sheet, layout, reply draft, …) is a suggestion — you review it before it goes live. Nothing is ever activated or sent automatically.

Topping up & auto-reload

The Buy credits button on the AI credits card opens the Buy AI credits dialog. Bigger packs include bonus credit:

PackYou payCreditBonus
€50€50€55+10%
€250 (Recommended)€250€300+20%
€1,000€1,000€1,300+30%
Other amountany amount (min €1, max €5,000)1:1no bonus

Once you pick an option, the embedded checkout opens to complete the payment.

The Auto-reload button lets you set your balance to top up on its own whenever it drops below a threshold:

  1. Turn on the Auto-reload switch.
  2. Enter the Threshold (€) below which a reload should happen, and the Reload (€) amount.
  3. If you don't have a card on file yet, click Add card (or Change card if one is already saved).
  4. Click Save.

The dialog spells out exactly what will happen: "We will automatically charge {{amount}} to your saved card whenever your balance drops below {{threshold}}. Cancel anytime." So auto-reload can be turned off again at any time.

The History button (shown once there are transactions) opens a list of all your credit transactions with amount and kind:

Usage log

On the AI usage card, click View logs to open the AI usage — logs window with the detailed breakdown:

  • By area (month): one line per area with the number of calls and cost this month, including Chat assistant, Event planning (AI), Onboarding, Email replies, Indexing, and AI layout from PDF.
  • Recent calls: a list of the most recent individual AI calls with area, timestamp, and cost.

If there's no AI usage yet, this section shows "No AI usage recorded yet." instead.

FAQ

What happens when the balance runs out? In chat you'll see the message: "AI credit used up. Top up your balance to keep using the assistant." In automation rules, only the affected AI action is skipped and the rest of the rule keeps running. For AI layout from PDF, generation stops with a note to top up credit in Billing and start again.

Does an automation rule fail completely if the balance runs out partway through? No. Only the individual AI action (AI classification or AI reply draft) is skipped — every other action in the rule still runs normally.

Do I get credit automatically, without buying anything? Yes. Your workspace automatically receives a welcome credit on its first AI call, which shows up in the history as Welcome credit.

Can I turn off auto-reload again at any time? Yes. Open Auto-reload and turn off the switch — the dialog's own text says auto-reload can be canceled "anytime."

What do I do if an automatic reload fails? The AI credits card then shows an "Automatic reload failed" warning with a tip to update your saved card.

Where can I see exactly what I spent AI credit on? Click View logs on the AI usage card — it shows the breakdown by area as well as the most recent individual calls with their cost.
