Sample data in a new workspace (and how to delete it)

After reading this article you will know what the sample data in your new workspace contains, how to recognise it and how to delete it in one click with a preview.

A new workspace does not start empty. So you can see what Univents looks like in daily use, we create sample data while setting it up. You can try everything without changing anything real, and delete the samples as soon as you no longer need them.

What the sample data contains

  • Rooms and venues with capacity.
  • Products of every kind: food per guest, a drinks flat rate per guest and hour, service staff per hour, rental items, travel per kilometre, piece-price items and room rent.
  • Recipes with ingredients and allergens, plus menus and packages.
  • Two booking pages: a webshop and a room booking. Both are hidden from search engines.
  • Contacts and inquiries, spread across all columns of the Kanban board.
  • Three events with bookings, tasks and shifts for sample crew members.
  • Sample quotes and an invoice draft, each without a document number.
  • A team chat with a few messages.

The sample texts appear in your workspace’s language. All dates are relative to the day your workspace was created.

How to recognise sample data

As long as sample data is in the workspace, a banner tells you that you are looking at sample data. Sample contacts use addresses on example.com. Univents sends no emails to these addresses.

What you can do with sample documents

Sample quotes and the sample invoice draft can be viewed as PDF but not sent. They use no document number: your first real quote gets the first number of your number range. The same applies to the sample quote (Musterkunde) from the onboarding chat, which also counts as sample data.

Deleting sample data

  1. Click Delete sample data in the banner, or the Delete sample data step in the start checklist.
  2. Univents shows you a preview with three parts:
    • Will be deleted: all sample data. This includes your own content attached to sample data, for example an event you created for a sample customer.
    • Will only be detached: things that stay and merely lose their link to sample data, for example a sample product you remove from your own package.
    • Stays: documents that were already sent or carry a number. We have to keep these for legal reasons.
  3. Confirm. Deleting happens in one step, either completely or not at all.

If you want to keep a sample, edit it freely: it still counts as sample data and is deleted too. Better create the content you want to keep from scratch.
