Kitchen Monitor – Production Under Control

The Kitchen Monitor in Univents shows you in real time which production tasks are scheduled for today, what is already in progress, and what has been completed. Positions are grouped by production category and combined into one row across events wherever the same product is needed — every status change is immediately visible on all devices that currently have the monitor open.

Opening the Kitchen Monitor

1. Go to Inventar in the sidebar navigation.
2. Switch to the Küche tab in the top tab bar.

You will now see the dark Kitchen Monitor dashboard with a KPI overview (Gesamt, Offen, In Arbeit, Fertig) and the date selector.

Selecting and Navigating Dates

The monitor displays the current day by default. You can change the date in three ways:

1. Click the ‹ arrow (one day back) or › arrow (one day forward).
2. Type directly into the date field and select any date you like.
3. Click Heute to jump back to the current day immediately.

The top left shows the selected weekday written out in full so you can see at a glance which day you are viewing. The green Live indicator next to the display options confirms that the view updates automatically.

Navigating by Production Category

To the left of the task list (a horizontally scrollable chip row on mobile) you'll find the category navigation:

• Alle shows all categories at once, with the total number of open positions as a counter.
• Every production category appears as its own entry with the number of positions still open in it. Clicking one narrows the list to just that category.
• Positions without an assigned category collect under Ohne Kategorie.

Within a category, positions are additionally grouped by production sub-category under a grey header.

Positions as a Quantity Triple: Open / In Progress / Done

Each row combines one product across every event that needs it on the selected day. On the left of the row is a number triple in the format open / in progress / done (e.g. "12 / 4 / 30"), followed by the product name, the required quantity with its unit, and — where available — the number of contributing events plus a lead-time hint (e.g. "2 Std. Vorlauf").

Clicking the row expands it and shows every contributing event as its own sub-row with its own quantity and its own status — useful when a product is being produced for several events at once but they're not all at the same stage.

If a product carries allergens, they appear as badges below the row. If a production question is configured on the category (e.g. "disposable or reusable?"), the row also shows the given answer as a small chip next to the product name.

Advancing a Position's Status

The action buttons sit on the right of each row:

• ▶ moves the whole row (or, in the expanded view, a single event) to In Arbeit.
• ✓ marks it as Fertig.
• The dashed ↩ button resets the row back to Offen — because this discards any quantities already logged as "in progress" or "done", Univents asks you to confirm with "Zurück auf offen setzen?" first.

If a position is locked (buttons greyed out, "Zu früh" hint), the desired production window hasn't been reached yet: producing it now would fall below the product's minimum shelf life. The monitor unlocks the position automatically as soon as the earliest possible production time is reached — on an expanded row with several events, that can happen at different times per sub-row.

Opening the Recipe Detail View

Click Rezept ansehen on the right of a row to see the preparation and ingredients scaled exactly to the quantity being produced:

• The Zutaten tab shows every ingredient with its quantity, automatically scaled up to the row's currently required total quantity (Univents calculates "quantity per portion × required quantity" for you). A marker (I) or (E) in front of each ingredient shows whether it's produced in-house or purchased externally.
• The Rezept tab shows preparation steps, internal notes, and the product's allergens.

The detail view is read-only — you still make changes to the recipe or ingredients on the product itself (see Creating & Using Recipes).

Completed Positions and Legend

Above the category navigation, the Abgeschlossene anzeigen checkbox shows or (by default) hides completed positions, so the list stays manageable during service. The Legende below it explains the three status colours (open, in progress, done) — colour is never the only carrier of that information, the numbers in the quantity triple always sit right next to it.

Displaying the Kitchen Monitor in Fullscreen

For a screen mounted permanently in the kitchen, you can hide the side navigation and browser chrome:

1. Click Fullscreen at the top right.
2. The monitor now fills the entire screen.
3. To leave, click Exit fullscreen (or press Esc).

Fullscreen mode still runs inside your logged-in session — there is currently no separate screen access without login or via a PIN. For a kitchen tablet that stays on permanently, sign in once with an account that has Kitchen Monitor access.

Preparing Products for the Kitchen Monitor

For a product to appear in the Kitchen Monitor it must be configured accordingly in the product editor:

1. Go to Inventar > Katalog and open the desired product.
2. Switch to the Produktion section.
3. Enable the Für die Küchenproduktion verwenden checkbox.
4. Fill in the relevant fields:

Managing Production Categories

Production categories structure the Kitchen Monitor and are completely separate from regular product categories (booking page, invoice).

1. Open Inventar and switch to the Produktionskategorien tab.
2. Click Produktionskategorie hinzufügen to create a new main category.
3. Enter an internal name (e.g. "01 Warme Küche"). Number prefixes control the sort order.
4. Sub-categories are created in the same way — when saving, select the parent main category.

Use Bearbeiten and Löschen at the end of each row to edit or remove existing categories.

Restricting Access to the Kitchen Monitor

By default, everyone with Inventory access can also see the Kitchen Monitor. As an owner or admin, you can restrict this:

1. Go to Settings > Univents > Inventory.
2. Open the Kitchen Monitor Access card.
3. Choose Everyone with inventory access (default) or Admins only from the dropdown.

The change takes effect as soon as you pick an option. Users without access no longer see the Kitchen tab in Inventory at all; if they still open it via a link, they see "You don't have access to the kitchen monitor. Please contact your admin." instead of an empty screen.

Kitchen helpers without their own Inventory access still see their kitchen tasks in the Employee Portal regardless of this setting — it has its own Kitchen tab with the same view.

Frequently Asked Questions

Why does a product not appear in the Kitchen Monitor? Check in the product editor under Produktion whether the Für die Küchenproduktion verwenden checkbox is active and whether a Produktionskategorie has been selected.

What does the number triple in front of the product name mean? The three numbers show open / in progress / done, summed across every event that needs this product on the selected day. Click the row to see the individual events with their own status.

Why are the status buttons for a position greyed out? The position is time-locked: producing it now would fall below the product's configured minimum shelf life. The monitor unlocks the buttons automatically as soon as the earliest possible start time is reached.

Do all team members see the same view? Yes. The Kitchen Monitor updates automatically for all open sessions as soon as a status changes.

Can I run the Kitchen Monitor on a kitchen tablet without logging in? Not on its own — there is currently no PIN or kiosk access without signing in. Use fullscreen mode inside your logged-in session instead.

I no longer see the "Kitchen" tab — why? An admin has restricted Kitchen Monitor access to Admins only in Settings. Contact your workspace admin if you need access again.
